Booking Terms, Payment & Cancellation Policy
Terms and Conditions
These Terms and Conditions outline the agreement between the client and Lassic Africa Safari Tours regarding safari bookings, payments, cancellations, and responsibilities during travel.
By confirming a booking and making any payment toward a safari arranged by Lassic Africa Safari Tours, the client acknowledges that they have read, understood, and agreed to the following terms and conditions.
1. Booking Confirmation & Contract
A binding contract between the client and Lassic Africa Safari Tours comes into effect once a booking has been confirmed and the required deposit payment has been received.
The person making the booking accepts these terms and conditions on behalf of all travelers included in the reservation.
Clients are responsible for ensuring that all passenger names provided during booking match exactly with the names shown on their passports.
2. Deposit & Payment Terms
To secure a safari booking, a 50% deposit of the total safari cost is required.
The booking will only be confirmed once this deposit has been received and acknowledged by Lassic Africa Safari Tours.
The remaining 50% balance must be paid upon arrival and before the safari begins, unless otherwise stated in the booking confirmation or invoice.
Failure to settle the balance within the required timeframe may result in cancellation of the booking, and Lassic Africa Safari Tours reserves the right to release the reserved services.
3. Payment Methods
Payments may be made using the following methods:
• Bank transfer
• Credit or debit card (Visa, MasterCard, and other secure online payment gateways)
• Mobile money where applicable
A 3.5% bank surcharge fee applies to all credit or debit card payments and is non-refundable.
Clients are responsible for any international transfer fees or bank charges applied by their financial institutions.
4. Cancellation Policy
We understand that travel plans may change unexpectedly. Our cancellation policy is designed to be fair while allowing us to recover costs already incurred in preparing your safari.
All cancellations must be submitted in writing via email to Lassic Africa Safari Tours in order to be considered valid.
Cancellation Charges (Per Person)
60 days or more before safari start date
Full refund (no cancellation fee)
30 – 59 days before safari start date
25% cancellation fee of the total safari cost
14 – 29 days before safari start date
50% cancellation fee
8 – 13 days before safari start date
75% cancellation fee
Less than 7 days before safari start date or no-show
100% cancellation fee (no refund)
5. Supplier Cancellation Policies
Lassic Africa Safari Tours works with independent third-party suppliers including:
• Hotels and safari lodges
• Airlines and charter flight providers
• Transport providers
• National parks and conservation authorities
These suppliers may have their own cancellation policies and deadlines.
Where supplier policies are stricter than the cancellation terms above, those supplier policies will apply and any non-recoverable costs will be deducted from applicable refunds.
6. Refund Policy
Refunds, where applicable, will only be processed after confirmation of recoverable amounts from all suppliers involved in the itinerary, including hotels, lodges, airlines, and other service providers.
All refunds will be issued less the following costs:
• Non-recoverable supplier payments
• Credit card processing fees
• Bank transfer charges
• Any expenses already incurred in organizing the safari
Refund processing times may vary depending on supplier refund timelines and banking procedures.
7. Changes to Bookings
Requests to change confirmed itineraries are subject to availability and supplier approval.
Changes may result in additional costs depending on supplier policies and availability at the time of modification.
Changes requested close to the safari departure date may be treated as a cancellation and rebooking depending on the policies of the involved suppliers.
8. Travel Insurance
All clients are strongly advised to obtain comprehensive travel insurance that covers:
• Trip cancellation
• Medical expenses
• Emergency medical evacuation
• Personal injury
• Loss or delay of luggage
• Flight delays or interruptions
While Lassic Africa Safari Tours includes AMREF emergency evacuation cover during the safari, this does not replace full travel insurance.
Lassic Africa Safari Tours shall not be responsible for any losses resulting from failure to obtain adequate travel insurance.
9. Liability
Lassic Africa Safari Tours acts as an intermediary between clients and third-party service providers such as hotels, lodges, airlines, transport companies, park authorities, and activity providers.
While every effort is made to ensure the highest standards of service, Lassic Africa Safari Tours shall not be held liable for:
• Injury, illness, or accidents
• Loss or damage to personal property
• Delays caused by weather conditions, road conditions, or mechanical issues
• Airline delays or cancellations
• Actions, omissions, or failures of third-party service providers
Participation in safari activities and wildlife viewing is undertaken at the client’s own risk.
10. Force Majeure
Lassic Africa Safari Tours shall not be held responsible for cancellations, delays, or changes caused by circumstances beyond its control.
These may include but are not limited to:
• Natural disasters
• Government restrictions
• Political unrest
• Pandemics or health emergencies
• Airline disruptions
• Park closures
• Extreme weather conditions
In such situations, Lassic Africa Safari Tours will make reasonable efforts to offer alternative arrangements or reschedule the safari where possible.
11. Client Responsibilities
Clients are responsible for ensuring they have:
• Valid passports
• Required visas
• Necessary vaccinations
• Adequate travel insurance coverage
Failure to meet entry or immigration requirements for Kenya or other destinations in the itinerary will not be considered grounds for a refund.
12. Jurisdiction & Governing Law
These booking terms and conditions shall be governed by and interpreted in accordance with the laws of Kenya.
Any disputes arising from a booking with Lassic Africa Safari Tours shall be subject to the exclusive jurisdiction of the courts of Kenya.
13. Payment Disputes & Chargebacks
By making payment toward a safari booking, the client agrees not to initiate a chargeback or payment dispute with their bank or credit card provider without first attempting to resolve the matter directly with Lassic Africa Safari Tours.
If a chargeback is initiated without reasonable cause or in violation of these agreed terms, Lassic Africa Safari Tours reserves the right to pursue recovery of the disputed funds, including any associated legal or administrative costs.
14. What You Receive When Booking With Lassic Africa Safari Tours
When you book with Lassic Africa Safari Tours, you receive:
• AMREF emergency evacuation cover during your safari
• Assistance selecting appropriate travel insurance
• 24/7 support before and during your trip
• Comfortable accommodations with reliable backup power and hot showers
• Planned pit stops and optional flight upgrades for long-distance drives
• A dedicated safari team that treats your journey with the same care and attention as if it were our own
15. Acceptance of Terms
By confirming a safari booking and making payment, the client acknowledges acceptance of these Terms and Conditions.
These terms constitute the full agreement between the client and Lassic Africa Safari Tours.
